The Executive Assistant II will perform advanced administrative duties for the Chief Product & Technology Officer (CPTO) and other assigned Senior Leadership. This role will be part administrative and part strategic.  The administrative part of the role will be responsible for managing schedules and travel, and day-to-day administrative tasks. The strategic part of the role will provide support in driving goals of CPTO, working with the teams to provide further clarity of objectives or communication, and deciding between essentials and non-essentials. This requires the ability to work independently to promote the CPTO’s initiatives requiring the ability to exercise independent judgment and discretion while maintaining absolute confidentiality.


Essential Functions:

  • Administrative Support:
    • Calendar & Travel management -  Organize travel, make reservations and ensure logistics are planned effectively. Work to resolve calendar conflicts by understanding priorities.  
    • Information Dissemination - Disseminate informational mailings and documents; prepare and edit correspondence, presentation and communication for larger audiences; send out communications on behalf of the CPTO.
    • Email & Call Supprt – Organize and prioritize large volumes of confidential and non-routine information and calls.  Review and respond to email and inquiries in a professional manner, determine within established guidelines if executive action is required. Proof-read emails for spelling, grammar, and appearance, make appropriate changes based on target audience.
    • Record Keeping - Establish, develop, maintain and update necessary information for the CPTO.
    • Expense Report - Prepare and submit expense reports in a timely fashion.
    • Prepare reports, manuals, procedures, agendas, and minutes of meetings; obtain and organize meeting materials; manage meeting objectives and timekeeping.
  • Data & Reporting: Research, assemble, and analyze information for assigned tasks; plan the layout of complex reports, proposals and visual tables.
  • Vendor Management: Work with different vendors for food, transportation, and other areas as necessary. Monitor contracts for renewal and provide analysis of effectiveness, and manage and align with budget.
  • Stakeholder Management: Develop and maintain positive and effective working relationships at all levels of the organization, including senior management and global partners.
  • Office management: Responsible for ensuring the office is stocked with supplies, supervises good housekeeping and reports areas to improve look and feel for efficiency or aesthetics.
  • This is a new role in a new office location currently being built, and may need to manage and coordinate miscellaneous activities related to the renovation, i.e., moving teams as necessary as renovation work is completed, coordinate with on-site vendors, etc.
  • Must be available to address concerns after hours, on weekends and have the ability to travel on occasion


Required Job Skills:

  • Bachelor’s Degree or 8 years’ minimum experience
  • Minimum 5 years’ experience providing executive-level administrative support in a technology company
  • Expert knowledge of MS Office products (Word, MS Excel and MS Outlook); highly proficient in WebEx tools
  • Excellent interpersonal skills; able to interact with teams professionally and in a friendly manner, but protect Executives’ time in appropriate gatekeeping
  • Great Organizing skills
  • Excellent Communication Skills– written and verbal communication. Ability to handle sensitive information.
  • Ability to prioritize projects with strong problem-solving skills
  • Attention to detail and accuracy
  • Business savvy, able to pick up on nuances on business interdependencies and able to forecast and pre-empt potential challenges
  • Good understanding of using Internet to research information.
  • Flexibility and resiliency to work well under pressure, maintain confidentiality, and quickly adapt to rapidly changing needs and priorities
  • Travel may be required at the request of the CPTO
